How to Use the Waitlist / Notify / Remind System
Three smart states that capture demand at every stage of your event lifecycle — before tickets open, while they're available, and after sellout. Zero manual management required.
What Is the Waitlist System?
The Waitlist / Notify / Remind system is a dynamic demand capture engine that adapts to your event's ticket availability in real time. It works through three automatic states:
Notify Me
Pre-Sale · Before tickets open
Captures pre-sale interest when your event is announced but tickets aren't on sale yet. Visitors sign up with one click and receive an automatic email the moment tickets become available.
Remind Me
Available · While tickets are on sale
Nudges visitors who are interested but not ready to commit. Timed reminders bring them back before the event fills up — ideal for high-consideration events like retreats and trainings.
Waitlist
Sold Out · After all tickets sell
Captures overflow demand when your event sells out. If a spot opens through cancellation or release, the next person in line is notified instantly — no manual outreach needed.
How the System Works
The system requires zero configuration from you. State transitions happen automatically based on your ticket availability:
Event Created — Notify Me Activates
When you create an event and set a future ticket sale date, the “Notify Me” button appears automatically on your event page. Visitors can sign up with email, Google, or Apple Sign-In.
Tickets Go Live — Switches to Remind Me
The moment tickets become available for purchase, the system automatically transitions to “Remind Me.” All Notify Me subscribers receive an instant email that tickets are live. New visitors who don't purchase can opt into reminders.
Event Sells Out — Becomes Waitlist
When all tickets sell out, the system switches to “Join Waitlist.” Visitors see their queue position. If a spot opens (cancellation, refund, or manual release), the next person is notified automatically with a direct purchase link.
Waitlist Fills Cancellations
When a waitlisted visitor receives a notification, they have a configurable window (default: 24 hours) to purchase. If they don't act, the next person in line is notified. This continues until the spot is filled — all automatically.

Troubleshooting
Notify Me button not showing
Ensure your event is on the Elevate or Amplify plan and that you've set a future ticket sale date. The Notify Me state only appears when tickets are not yet available for purchase.
Waitlist not activating after sellout
The Waitlist state activates when all ticket types are sold out. If even one ticket type has remaining inventory, the system stays in the Remind Me state. Check that all ticket types show zero availability.
Waitlisted person not receiving notification
Notifications are sent in queue order when a spot opens. Check the notification log in your dashboard. If the email bounced or was undelivered, the system automatically advances to the next person.
Want to manually trigger a state change
Go to Dashboard → Event → Waitlist Settings. You can manually override the current state — for example, switching to waitlist mode early for a VIP pre-sale strategy.
